Before you book a wedding venue, there are 20 questions worth asking on every tour – and most couples only think of half of them. The ones that get skipped are usually the most expensive to miss: what’s actually included in the rental, whether your guest count can go down after you sign, and what fees don’t appear until the final invoice.
Here at Carley Brook, the couples who come in with real questions consistently make better decisions. This checklist is the version we’d hand every couple before their first tour.
What to Ask About Availability, Exclusivity, and Your Timeline?

Before you fall in love with a space, confirm the basics. Date availability, exclusivity, and access windows are the foundation everything else is built on – and the answers here will shape your timeline, your vendor coordination, and how much flexibility you actually have on the day.
1. Is your date available, and what are the backup options?
If your exact date is booked, ask what’s open nearby; some venues will hold a short list of open Fridays or Sundays that run cheaper than a Saturday anyway.
2. Is the venue exclusive to your event that day?
Some venues run multiple events in different rooms on the same date. Ask directly whether you’ll have the property to yourselves, and if not, how that affects parking, noise, and staff attention on your day.
3. What time do you get access, and what time do you have to be out?
This one shapes your whole timeline. A five-hour rental and a full-day rental are two very different weddings, and the gap between them isn’t always obvious from the price alone.
4. Is any construction or renovation planned before your date?
This doesn’t come up in most venue tours, but it should. More than one couple has toured a venue, loved it, booked it, then found out months later the property was getting gutted with no warning. Ask directly, and ask again closer to your date if you booked far in advance.
What Should You Ask About Pricing, Fees, and the Contract?
Pricing questions are where most couples leave money on the table – or get surprised after they’ve already signed. The base rental number rarely tells the whole story, and the details buried in the contract are exactly where it matters most to ask clearly and get answers in writing.

5. What’s actually included in the base rental price?
Marketing photos tend to show upgraded chairs, linens, and place settings that aren’t part of the standard package. Get the real list in writing before you fall in love with a look you’d have to pay extra for. Our Poconos wedding venue pricing guide breaks down what’s typically included at each price point if you want a general sense before you tour.
6. Are there admin or service fees separate from tax and gratuity?
Some venues quietly add a 3 to 4 percent admin fee on top of everything else, separate from the tax and gratuity you’re already expecting. It’s not always disclosed upfront, so ask specifically. The FTC’s guidance on unfair or deceptive pricing practices is worth knowing as a consumer; venues are required to disclose all mandatory fees clearly before you sign.
7. What’s the payment schedule and cancellation policy?
Know exactly when deposits and final payments are due, and what happens to your money if plans change.
8. If your final guest count comes in lower than the contract, can that number go down?
This is one of the most overlooked questions on this whole list, and one of the most expensive to get wrong. A lot of venues will let you increase your guest count after signing but won’t let you decrease it. If you put 150 on the contract and only 120 show up, you can still end up paying for 150. When in doubt, start conservative on the number you put in writing.
What Are the Rules Around Food, Drinks, and Outside Vendors?
Catering and bar policies vary more than most couples expect, and the difference between in-house-only and open vendor policies can meaningfully affect both your budget and your options. Get specifics here before you assume anything is included or allowed.
9. Is catering in-house, or can you bring in outside vendors?
Some venues require in-house catering, others hand you a preferred vendor list, and some let you bring in anyone. Each version changes your budget and your options significantly.
10. How does the bar package work, and what are the alcohol rules?
Ask where drinks can be served, whether they’re allowed on the dance floor, what liquor is included versus upgraded, and whether bartenders are part of the package or billed hourly.
11. How are kids handled for meal pricing and headcount?
If kids are coming, ask how the venue prices their meals and whether they count toward your guest minimum. This varies a lot between venues, and it’s easy to miss until the final invoice.
12. Are there restrictions on desserts or late-night snacks from outside vendors?
Venues can be surprisingly particular here. Some have exclusive dessert vendors; others restrict outside food entirely for late-night snacks. Ask before you plan around a specific bakery or food truck.
What Happens If It Rains, and Other Day-Of Questions to Ask?
Day-of logistics are where the gap between a beautiful venue and a well-run wedding shows up most clearly. These questions are about execution – room flips, rain plans, setup windows, and the small details that determine whether your day runs smoothly or requires you to manage problems yourself.
13. If ceremony and reception share one space, how does the room flip work?
If your ceremony and reception happen in the same room, someone has to flip that space while your cocktail hour runs. Ask where guests will actually be during that window, and whether the cocktail hour area comfortably fits your full guest count. More than one couple has toured a gorgeous space only to realize the cocktail area was sized for half their guest list. If you’re planning a multi-day celebration rather than a single afternoon, our guide on choosing a Poconos wedding venue for a full wedding weekend covers logistics questions specific to that format.
14. What’s the rain plan for outdoor space?
If any part of your day is planned outside, get specifics on the backup plan, not just confirmation that one exists.
15. What are the setup and teardown windows, and is overnight storage allowed?
Find out when vendors can start setting up, whether there’s a curfew, and whether you can leave items overnight or need to load everything out the same night.
16. Is there a bridal suite, and can the venue arrange a moment for just the two of you after the ceremony?
A private space to get ready matters, but so does having five quiet minutes together right after you’re married. Some venues will bring the couple a small plate and drinks so you can actually eat and sit down together before the reception starts. It’s a small thing that a lot of couples wish they’d asked about sooner.
How Will the Venue Handle Your Guests?
It’s easy to tour a venue thinking about how it will look in photos. These questions are about how it will actually function for the 50, 100, or 200 people you’re asking to show up, park, move around, and spend several hours at. Accessibility, parking, restrooms, and power aren’t glamorous – but they matter on the day.
17. What does accessibility actually look like on the property?
Don’t just ask “is it accessible” and check a box. If you have guests with mobility needs, ask specifically: will they need to cross grass or sand, and how far is the nearest accessible restroom from the ceremony space? The ADA’s public accommodation standards cover the baseline requirements for venues like this, but real-world layout matters more than a checkbox, so ask the venue to walk you through it in person.
18. What’s parking like, and are there hotels nearby?
If the venue is out of the way, your guests will appreciate knowing lodging options and whether a shuttle is available or recommended.
19. Are there enough restrooms for your guest count?
Easy to overlook, genuinely disruptive if it’s wrong, especially for larger weddings or outdoor venues without a lot of facilities nearby.
20. Is there enough power and space for a band or DJ?
Confirm outlet capacity and setup space before you book entertainment, not after. OSHA’s electrical safety standards for temporary events are a useful baseline, but in practice, just ask the venue directly what their load capacity is and whether they’ve hosted live bands before.

How Do You Use This Checklist on an Actual Tour?
Twenty questions is a lot to remember standing in a beautiful room with a coordinator waiting for your answer. Bring this list with you, or better yet, send it ahead of time so the venue can walk through it with you directly instead of you trying to remember all of it on the spot.
One question on this list comes up more than almost any other in conversations we have with couples mid-planning: the guest count one. Again and again, couples describe locking in a number on their contract, only to learn later that the venue would let them add guests but not remove them, which ends up leaving them stuck paying for people who never showed up. It’s the kind of detail that’s easy to miss on a tour and expensive to find out about after the fact.
The venues worth booking are the ones that answer these questions clearly, without hesitation. If a venue gets vague or defensive about guest count flexibility, hidden fees, or what’s actually included, that’s worth noting too.
