There is no additional fee–we simply include coordination because the success of your wedding is just as important to us as it is to you.
Whether you are planning your wedding yourself or working with a planner, our professional in-house coordination team is excited and happy to work within your plan and help your day come to life as envisioned.



What’s the difference between wedding coordination and
wedding planning?


Wedding Coordinator
A Wedding Coordinator typically comes into play closer to the wedding day. At The Venue at Carley Brook, they meet with you two months prior to your wedding. They focus on the day-of coordination to ensure everything runs smoothly.
Their duties include managing the timeline, directing vendors, coordinating the setup of the event, and addressing any issues that arise on the day. They work to ensure that you can enjoy your day without worrying about logistics.
Wedding Planner
A Wedding Planner is involved from the very beginning, helping you with the overall vision, budget management, vendor selection, and timeline creation. They often assist in every aspect of the planning process.
They help choose venues, recommend vendors (like caterers, photographers, and florists), negotiate contracts, and ensure all elements align with your vision. They may also coordinate logistics leading up to the wedding day.
The Venue at Carley Brook does not offer planning services, only coordination, but, we recommend that you hire a wedding planner to enhance your planning experience and ensure a smooth, successful event. Your Lead Coordinator will collaborate with your Wedding Planner starting two months before your wedding day and they and the venue staff will continue to work together throughout the event.

What do we expect from you in the wedding planning process?
Wedding Planning
You plan your wedding with support from our Preferred Vendor List, Timeline Checklist and Wedding Details Planner. You may either plan your wedding on your own or with support from a professional wedding planner.
Contract Communication
Each time you book a vendor, you add the contract, any additional informational documents and the vendor’s contact information to your portal as well as update the Wedding Details Google Worksheet.
Bookmark the Portal
Make your planning portal easily accessible through a shortcut app on your smartphone and/or bookmarked tab on your browser!
Obtain Event Insurance
…with host liquor liability, and upload it to the portal for our records. We also recommend cancellation insurance. You can obtain event insurance through the Preferred Vendors List.
Wedding Details
3 months before the wedding you have filled out the Wedding Details Google Worksheet in as many areas as possible.
Optional Open House
You are welcome to attend a Carley Brook Open House to bring your wedding planner, test out your tablescape, envision decor and rental placement, etc. This may help the planning process, but is not required! Open Houses dates will be communicated via email to all booked couples.
